Primary Duties and Responsibilities of an Executive Assistant
Estimating Support
Print drawings/bid documents
Manage Invitations To Bid (ITB) to all necessary subcontractors
Organize and maintain all documents required for each bid
Update and manage the subcontractor list
Engage with subcontractors for bid day purposes
Gather information needed for bids
Track addendums and notify when necessary
Coordinate/attend pre-bid meetings when needed
Coordinate bid runner
Maintain and develop subcontractor relationships
General Duties Include:
Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
Handle highly sensitive and confidential financial, legal, personnel, and institutional information while exercising professionalism and discretion.
Organizing meetings, including scheduling, sending reminders, and arranging catering when necessary
Apply for grants, awards and nominations on behalf of individuals within DVB and the company
Assist in the coordination of DVB children's book reading days, Vetsgiving and other charitable events
Plan and coordinate company outings and events with the team
Track KPI’s and dashboard with ownership
Manage the executive’s calendar both personal and professional, including making appointments and prioritizing the most sensitive matters
Plan and manage travel arrangements for ownership
Prioritize and manage correspondence
Act as the point of contact between executives & others
Assist in various personal errands
Possible Future Duties:
Work with business development professionals and ownership for deliverables, strategy, and calendar coordination
Work with ownership on new ventures/initiatives
The Ideal Candidate is
A detail-oriented self-starter with three to five years’ prior experience in supporting a senior executive or team
Discreet and trustworthy with sensitive and personal information
Someone who exhibits sound judgment with the ability to prioritize and make decisions
Energetic and eager to tackle new projects and ideas
Comfortable interacting with high-level executives
A team player capable of cultivating productive working relationships across the company
Resourceful, can-do attitude
Thrives in a fast-paced environment
Skillset And Background
Bachelor's degree preferred
Excellent written and verbal communication skills
Time-management skills
Ability to pay attention to detail

Basic understanding of frequently used computer software and programs, such as Microsoft Office and Adobe Suite
